The Problem

Where Your Team Is Losing Time

You don't have an AI problem. You have a manual work problem. And it's showing up in the same places every day.

Someone on your team re-enters the same information into two different systems every single week.

Your Monday morning report takes most of Monday morning to build — and by the time it's done, some of the numbers are already out of date.

A process that should take an hour is still waiting on an approval nobody is tracking.

Your senior staff spend 30 minutes a day answering questions that are already written down somewhere — if only anyone could find them.

That's not a people problem. That's a workflow problem. And it's exactly the kind of thing the right tools eliminate.

The Four Pillars of Managed AI

This is how we think about AI and automation for small businesses. Not by tool — by what the work actually does.

Workflows

Automate the work that shouldn’t require a person.
Repetitive manual processes — the copying, the re-entering, the scheduled tasks that depend on someone remembering to do them — run themselves. If a human is doing it on a schedule or transferring information from one place to another, it can be automated.
In practice: Your accounting platform and your project management tool have never shared data. Now they do — automatically, without a developer, without a spreadsheet in the middle.

Orchestration

Connect your tools so they operate as one environment.
Data moves between systems automatically. The right people get notified at the right time. Handoffs that used to require three emails and a phone call happen in seconds. Nothing falls through the cracks because nothing depends on a human to move it.
In practice: A job marked complete in your field app automatically updates billing, generates a draft invoice, and routes it for manager approval — no manual steps, no follow-up required.

Connectors

Bridge the gaps between the platforms your business runs on.
Microsoft 365, your CRM, your accounting software, your field apps, your project management tool — if two systems exist in your business and they don’t currently talk to each other, there’s a good chance we can bridge that gap. No custom development required.
In practice: Your accounting platform and your project management tool have never shared data. Now they do — automatically, without a developer, without a spreadsheet in the middle.

AI Employees

Purpose-built agents that handle specific tasks around the clock.
These aren’t generic chatbots. They’re agents trained on your own data, documents, policies, and processes — built to handle the specific questions and tasks your team deals with repeatedly. They work around the clock and don’t require a human to be available.
In practice: A tenant submits a maintenance request at midnight. The agent collects the details, categorizes the issue, and routes urgent requests immediately — without a staff member needing to be available.
BUILT FOR YOUR BUSINESS

You Tell Us What's Not Working. We Build Whatever It Takes to Fix It.

You don't need to know what Power Automate is. You don't need to understand how Copilot processes a document. You don't need to have a technology strategy going in. You just need to tell us where things are harder than they should be.

We're not limited to just what comes in the box.

Most of the time, the tools your business needs already exist — and there's a good chance you're already paying for them. We configure them, connect them, and put them to work.

But sometimes the right tool doesn't exist. The software you're using almost gets the job done but not quite. You've built workarounds around its limitations so many times that the workaround has become the process. You know what you need — you just can't find it off the shelf.

That's where TTC builds from scratch. Custom applications, purpose-built for your exact operation. Your workflows, your data, your rules — translated into a tool that fits the way your business actually runs.

Our Process

How TTC Makes This Actually Happen.

Here's the honest version of how most AI and automation projects fail at small businesses: someone reads about a tool, buys a license, sets it up halfway, and the team never adopts it because it wasn't built around how they actually work.

We do this differently.

Discovery

We start with a conversation about your business, not about technology. Where is your team losing time? What processes depend on manual handoffs between people or systems? What information do you wish you had but can’t get to quickly? What does your team answer the same questions about over and over?

Opportunity Mapping

We identify the highest-impact automation and AI opportunities in your operation and map the right tools to address them. Not the most impressive technology — the right technology for your specific situation.

Build and Test

Everything is built and tested before your team touches it. If it doesn’t work the way your business actually operates, it doesn’t ship.

Training

We train your staff on exactly what they need to know to use it confidently. Not a technology tutorial. A workflow walkthrough built around how your team actually works.

Ongoing Management

We manage, monitor, and refine everything after launch. Tools that get configured and abandoned don’t deliver results. Ours do.
INDUSTRIES WE SERVE

We Know Your World

The tools are the same. The application is different. TTC works across a range of industries — and the problems we solve in each one are specific.

Accounting & CPA

Automate document collection, client communication, and status tracking. Recover time during peak season.

Law Firms

Reduce admin time on document prep, intake, and matter management. More billable hours, fewer manual handoffs.

Insurance Brokerages

Eliminate redundant data entry. Automate renewal workflows. Turn quotes around faster than the competition.

Healthcare Practices

Reduce administrative overhead for front office and clinical staff. Automate intake, referrals, and reporting.

Dental Practices

Automate patient scheduling, recall, and insurance verification. Cut the front-desk phone load with reliable IT and communications, without touching clinical systems.

Architecture & Engineering

Reliable IT for project-driven firms. File management, collaboration tools, and VoIP systems that keep distributed teams and job sites connected.

Financial Advisory & Wealth Management

Secure IT infrastructure, compliant communication systems, and workflow automation for client onboarding and reporting.

Professional Services

Reduce time on proposals, reporting, and project administration. Keep senior staff focused on billable work.

Property Management

Automate lease renewals, maintenance intake, and tenant communication. Stop losing tenants to slower processes.

Problems We've Solved.

We're not going to name names. But these are real situations, real tools, and real outcomes.

Insurance Brokerage

The Double-Entry Trap

Problem
Two staff members spent a combined three to four hours every week manually re-entering new client information from their intake form into two separate systems — errors were common, and records occasionally fell out of sync until a renewal was missed.
Solution
We connected the intake form to both platforms using Power Automate, so new submissions flow into both systems simultaneously with a confirmation routed to the responsible producer in Teams.
Outcome
The manual entry is gone, the error rate is effectively zero, and those four hours went back to productive work the day it turned on.
Professional Services

The Report That Built Itself

Problem
A senior operations manager spent most of every Monday pulling together a weekly performance report from four separate data sources — by the time it was done, some of the numbers were already out of date.
Solution
We built a Power BI dashboard that pulls from all four sources automatically, updates in real time, and is available to every partner on any device.
Outcome
The Monday morning report now takes five minutes to review instead of most of a morning to build — and the partners actually use the data now because it’s current.
Property Management

The Renewals That Stopped Getting Missed

Problem
Lease renewals were tracked in a spreadsheet. Someone was supposed to review it monthly and flag upcoming renewals for follow-up. Sometimes that happened. They lost two tenants in one year to competitors who reached out first.
Solution
We built a Power Automate workflow that triggers 120 days before each lease expiration, pulls tenant and lease details automatically, generates a personalized outreach email for the property manager’s review, and schedules follow-up reminders if there’s no response logged.
Outcome
No spreadsheet. No manual review. No missed renewals.

Ready to Stop Doing Manually What a Machine Can Do Automatically?

We'll start with a straightforward conversation about your business — not a technology pitch. If there are tools and workflows that can make a real difference, we'll show you exactly what that looks like before you commit to anything.
